Privacy Policy

dot Book Ltd

1.0 Agreement

The Privacy Policy in this document (asserted generally as “Policy”) applies to the use of any or all dotBook and/or Bookwise services, content and/or brand by any third parties, yourself included.

This Privacy Policy is designed to protect your privacy as a user of Bookwise, and to be clear about how we use data to operate our services. By engaging with Bookwise you (and/or any other third party doing so) acknowledge and agree to this Privacy Policy.

See also Bookwise Terms for Bookwise Legal Statements, Terms & Conditions for use of our services.

2.0 Definitions

dotBook Ltd and its affiliates (asserted as “dotBook”, “the company”, “we”, “us”, “our”), provide services and content to third parties (asserted as “users”, “you”, “your”, “them”, “their”), especially through a digital system available via Bookwise.io (any and all of which is asserted using the following terms: “Bookwise”, “Bookwise.io”, “software”, “product”, “service”, “website”, “app”, “publishing platform”).

dotBook, and Bookwise, exist to enable and encourage the enjoyment of reading. In order to provide our services to users, we must inevitably engage with certain elements of user data (also referred to as “data”, “personal information”). For example, this data could include a user’s name, or email address, or the date on which a user accessed our service, or any other information required to operate our business and provide our services.

Bookwise provides access to reading materials. For the purpose of this document (not the most interesting document you will find on Bookwise), these reading materials are referred to variously as “content”, “works”, “books”, “documents”, “stories”, and other words that really should be clear enough for you to get the gist.

3.0 What information do I need to provide in order to use Bookwise?

In order to access some Bookwise services, no identifying user data needs to be provided.

However, note that some information is inevitably handled by Bookwise for every user session on the site, such as the time at which a user accessed a page, or the type of device they used. This type of information is required only to operate our services, and not to identify our users.

In order to create an account, and to get the best out of our services, the following identifying data is required as a minimum:

  • A username, for simple, casual identification of the user. This does not have to be unique, or even the user’s real name — it is simply a handle to help the user, and Bookwise, to identify any given user.
  • An email address, to specifically identify the user. This does have to be unique. You can only have one Bookwise account per email address. Our system requires that email addresses registered with us are validated — either through a third-party email/identity provider such as Google or Apple, or via our own system, wherein all new registrants must respond to an email sent to the address with which they registered their Bookwise account, to demonstrate their ownership of that account.
  • Indication of agreement to Bookwise terms, including this Privacy Policy. This is important so that we and our users enter into a binding agreement, know where we stand, and understand our rights.
  • Possibly: Association with a third-party account, such as Google or Apple. This is only in the case where a user chooses to associate their third-party account with their Bookwise account, for instance by signing-in with Google or Apple (or another email/identify provider). Bookwise’s access to that account is very limited: we only use this system in order to pre-fill a username and email address, in order to speed up the sign-in process.

4.0 What information does Bookwise collect from its users?

In addition to data collected when a user initiates a Bookwise account, we reserve the right to collect information as part of the normal operational process of our business. This includes “usage data”, such as time and data of access, IP address, content accessed, number of times accessed, device type, device Operating System, etc. This list is not exhaustive, and we reserve the right to extend and/or alter this list as we develop our services.

5.0 How does Bookwise protect data collected from users?

We take the security of your data very seriously. We have implemented measures to protect against the loss, misuse, and alteration of your information. Your information is protected by physical, electronic, and procedural safeguards to prevent unauthorised disclosure. We encrypt the transmission of information using Secure Socket Layer (SSL) technology. We use digital safeguards such as firewalls and data encryption and physical access controls to our buildings and files. We authorize access to Personal Information only for those employees who require it to fulfill their job responsibilities.

6.1 How does Bookwise use data collected from users?

We use data collected from our users in the following ways:

  • To provide a more personalised, appropriate and enjoyable experience to our users, including retaining preferences, or lists of books, or generating recommendations that we believe will be interesting or helpful to you.
  • To synchronise your information between devices, so you can start reading on one device and pick up reading on another.
  • To inform users about any issues which we believe will (or may) be of interest to them, on the site and/or via email or other communication channels provided by users to Bookwise. If we send an email or other off-site communication to you, you will be able to opt-out from subsequent communications if you so choose. (Note: see also Section 6.2 below.)
  • To invite users to provide feedback about Bookwise services.
  • To integrate with third-party businesses, so long as all activities comply with Bookwise’s own Privacy Policy and Terms.
  • To comply with requirements and regulations of publishers, commercial partners and any other commercial entities relating to our business.
  • To operate, develop, improve and monitor our business and the services we provide, including via usage stats and analytics.

6.2 How will Bookwise guard against unsolicited communications to users?

Bookwise will NOT use data collected from users in the following ways:

  • We will not provide your personal information to any third-party company intending to use it to send unsolicited emails or other communications.
  • Bookwise will not send unsolicited emails or other communications without a clear, simple and functioning way to opt-out from further communication. If a user unsubscribes we will remove them from active communication lists and we will endeavour to ensure that they receive no further comparable communications (unless they resubscribe). Note that our systems may require certain processes to complete before an unsubscription is finalised — so there may be a delay before communications are ceased.

In shorter more casual language: You will not receive spam from Bookwise, or from anyone else using data from your Bookwise account.

7.0 How long is information retained by Bookwise?

Information is retained by Bookwise as long as we deem it necessary to provide our services, or as permitted by applicable law.

8.0 What if I want to unsubscribe and/or have my information removed from Bookwise?

If you wish to retract your information from Bookwise, you may do so using the digital system provided within our services (if available), or by sending an email request to thelibrarian@bookwise.io.

9.0 Changes to this Privacy Policy

Bookwise reserves the right to evaluate and update this Privacy Policy on an ongoing basis, to develop and improve our services according to changes in technology, best practise, and applicable law. Please check the Policy periodically for updates. We will endeavour to inform you if any changes are made, but we cannot guarantee that such communication will reach you. Your continued use of Bookwise services after the posting of any changes to this Privacy Policy means that you agree to be bound by such changes.

In the event of a change of control of the Bookwise business (e.g. sale or merger of dotBook Ltd and/or Bookwise), the successor entity will be subject to these same privacy commitments.
